ProLaunch Implementation for TuVox
Overview
To TuVox, a conversational voice response software manufacturer, tracking labor costs for client engagements is critical to maintaining profitability. Cognitive Technologies partnered with Journyx to upgrade TuVox’s existing time tracking system, installing and configuring Journyx ProjectXecute™ and ProjectlinkTM. Together with Microsoft® Office Project, this solution provided the functionality necessary to manage resource availability and project assignments for an entire portfolio, and allowed TuVox to accurately track and bill hours on client projects.
Goals
Increase employee efficiency and billable utilization by providing TuVox project managers with the ability to:
- Identify the tasks on which employees are currently working
- View employee work capacity over a given period of time across multiple projects and locate employees who are underutilized and can be assigned to additional tasks
- Accurately bill hours to the correct tasks and client projects
Solution
Cognitive Technologies designed and configured a Journyx solution that used Microsoft® Office Project as the scheduling mechanism, but provided insight into resource allocation and availability through the Journyx user interface. This configuration leveraged TuVox project managers’ existing knowledge of the Microsoft® Office Project application, while minimizing process changes relating to project scheduling. Thus, project managers could focus more attention on learning the required features of Microsoft® Office Project (if a training gap existed) and the resource allocation and availability planning features provided by the Journyx system.
As part of the planning process, Cognitive Technologies gathered information on current TuVox reports, techniques, and processes regarding time tracking, project management, resource management and billing. Based on these practices, Cognitive Technologies proposed small changes to existing processes and configurations to move TuVox toward a best practice solution. By focusing on the information that TuVox needed to get out of the system, Cognitive Technologies was able to suggest configuration and process strategies for the non-project tasks against which end-users log time. These changes provided TuVox with its desired best practice solution, without impacting billing processes.
As part of the standard ProLaunch™ implementation, Cognitive Technologies:
- Configured the Journyx system to reflect TuVox employees, projects, activities, and expenses
- Provided TuVox with recommended processes for tracking time against operational tasks as well as billable projects
- Conducted training for various types users and delivered leave-behind training

- Gather TuVox time tracking, project management, and resource management requirements to ensure the resulting system provided value to all end-users involved
